Administrative and Front Desk Assistant
IN THIS ROLE, YOU WILL:
Legal & Compliance Administrative Support
- Maintain and organize sensitive and confidential electronic files
- Prepare, proofread, and format internal/external documents and reports
- Assist with document management including contracts, compliance reports, filings, and audits
- Support onboarding/offboarding compliance tasks (e.g., training coordination, collecting disclosures, certifications)
- Track completion of employee compliance activities and follow up as needed
- Manage cartoon license requests for media operations
- Assist with audits, regulatory exams, and due diligence requests
- Record meeting notes, coordinate scheduling, and help track projects
- Act as liaison for Legal and Compliance with internal departments and external contacts
- Provide direct administrative support to the General Counsel/Chief Compliance Officer
Front Desk & Office Operations
- Greet and assist guests, maintaining a welcoming and professional environment
- Monitor office security and manage guest access
- Answer and direct incoming calls
- Handle inventory and supply management: order, receive, stock, and distribute
- Manage couriers, mail, and delivery services
- Coordinate food service including daily breakfast and pantry/kitchen supply upkeep
- Maintain conference rooms and common areas to ensure presentability
- Report and help resolve office maintenance issues in coordination with Office Manager
- Assist with in-house meetings and occasional offsite events
- Provide backup support to other administrative staff as needed
ABOUT YOU:
- Associate’s degree required; Bachelor’s degree preferred
- 2+ years of experience in administrative or office operations
- Previous support of senior executives preferred
- Experience in legal, compliance, financial services, or investment-related environments is a plus
- Exceptional organizational skills with strong attention to detail
- Clear, professional communication—both written and verbal
- Discretion and sound judgment in handling confidential matters
- Service-oriented mindset with a proactive approach
- Ability to multitask and prioritize effectively
- Tech-savvy with proficiency in Microsoft Office 365 (Outlook, Word, Excel)
- Experience with workflow or project management tools a plus
WHAT WE OFFER:
- Annual Salary: $55,000 - $65,000
- Bonus: This position is eligible for a discretionary bonus
